1.1. Tenant Account & Registration Information: When a business creates a POHO workspace, we collect personal and business contact details including administrator name, company name, work email address, telephone number, business address, and payment details.

1.2. End-User & Contact Data (Processed on Behalf of Tenants): POHO acts as a Data Processor for end-user data received by our business tenants. This includes contact names, email addresses, phone numbers, custom CRM tags, pre-chat form entries, and visitor session identifiers.

1.3. Messaging & Communication Content: We process inbound and outbound messages across connected channels (Live Web Chat, Email, and supported integrations), including message text, attachments, timestamps, and delivery statuses.

1.4. Technical & Usage Analytics: We automatically collect device and connection metadata such as IP addresses, browser type, operating system, API request logs, and error telemetry to ensure platform stability and security.

2. Purpose of Data Processing

We process personal data for legitimate business purposes:

  • Service Provisioning & Routing: Delivering, routing, and displaying messages between tenants and end-customers across Live Web Chat and Email;
  • Authentication & Security: Verifying tenant logins, enforcing Role-Based Access Control (RBAC), and preventing unauthorized access;
  • Billing & Account Management: Processing SaaS subscription fees and generating tax invoices;
  • Customer Support & System Optimization: Diagnosing performance bottlenecks, responding to technical support tickets, and monitoring platform uptime.

3. Strict Multi-Tenant Data Isolation

POHO operates on a secure multi-tenant architecture. All tenant data is logically isolated using database-level tenant scoping (`tenant_id`). No tenant has access to another business's contact records, message transcripts, or internal team notes.

4. Disclosure & Sharing of Information

We do NOT sell, rent, or trade personal data or customer messaging records to third-party advertisers. We share data only with trusted service providers essential for service delivery:

  • Email Dispatch & Infrastructure Providers: Cloud hosting facilities and email delivery gateways;
  • Payment Processing Gateways: PCI-DSS compliant payment gateways for subscription billing;
  • Legal Authorities: When required by a valid law enforcement subpoena, court order, or statutory directive.

5. Data Retention & Deletion

5.1. Active Account Data: We retain tenant messaging history and contact records for the duration of your active subscription to fulfill your operational requirements.

5.2. Account Termination & Data Deletion: Upon tenant account cancellation or written request, associated conversation data and contact attributes are permanently deleted or anonymized within sixty (60) days.

6. Data Security Measures

We maintain comprehensive technical and administrative safeguards to protect data against unauthorized access, loss, or alteration:

  • Encryption in transit using modern TLS protocol;
  • Encryption at rest using AES-256 for stored database records;
  • Regular vulnerability scans and strict role-based access controls;
  • Isolated web chat sandboxes preventing cross-site scripting (XSS).

Users and business tenants may request access, correction, or deletion of their personal data by contacting our support team at support@poholabs.com.

8. Children's Privacy

POHO is a business-to-business (B2B) SaaS platform and is not directed to individuals under the age of 18.
